AVATAR Project Camp Policy

Dear Parents and Guardians,


Thank you for choosing our summer camp for your child's exciting summer adventure! To ensure a safe and enjoyable experience for all participants, we kindly request that parents read and agree to the following policy before enrolling their children. By signing this policy, parents acknowledge their understanding and acceptance of the terms outlined below.


Enrollment and Registration:

Parents are responsible for completing the enrollment form accurately and providing all necessary information requested. This includes emergency contact details, medical information, and any specific needs or allergies that our staff should be aware of.


Required A1 Language Level:

In order to provide an enriching and effective language learning experience for all children attending our camp, we have implemented a policy that requires kids to have a minimum A1 language level before enrolling in certain language programs. The A1 language level serves as a foundation for basic communication and comprehension in the target language. It ensures that children have acquired essential vocabulary, grammar structures, and listening skills necessary to actively participate and benefit from the language activities and exercises offered in the camp.


By requiring a minimum A1 language level, we aim to create a supportive and engaging environment where children can confidently interact with their peers and teachers. This policy also enables our instructors to tailor their lessons and materials to the appropriate level, ensuring that each child receives the necessary guidance and support for their language development.


Code of Conduct:

We expect all participants to adhere to a code of conduct that promotes respect, inclusivity, and positive interactions. Any form of bullying, harassment, or disruptive behavior will not be tolerated.


Parental Communication:

In the event of any major behavioral issues, parents will be contacted immediately. Our staff will work together with parents to address the situation and find a resolution. If the behavioral issues persist and pose a significant disruption to the camp's environment and the experience of other participants, the following steps will be taken:


Day 1: If major behavioral issues arise, parents will be notified and provided with details of the concerns. Parents will be requested to address the issue and discuss it with their child.


Day 2: If the behavioral issues continue and show no improvement, parents will be contacted again and informed that their child must be picked up immediately. The student will no longer be able to attend the rest of the camp, and no refunds will be provided.


Health and Safety:

Parents are responsible for informing the camp of any specific health concerns or medical conditions that may affect their child's participation. Our staff will make every effort to ensure the safety and well-being of all participants, but we must rely on accurate and up-to-date information from parents.


Personal Belongings:

Participants are responsible for their personal belongings. We encourage parents to label all items brought to camp to prevent loss or confusion. The camp will not be held responsible for any lost or damaged items.


Photo and Video Release:

During the camp, we may capture photos or videos of participants engaged in camp activities. By enrolling your child, you grant us permission to use such media for promotional and educational purposes. If you have concerns about your child's image being used, please notify us in writing.


Camp Hours:

Participants should arrive and be picked up on time according to the camp schedule. Late pick-ups may incur additional charges.


Payment Policy:

We request payment for the camp session(s) at least one week prior to the start of the camp. This allows us to determine the number of participants in advance, adequately prepare for the session, purchase the necessary materials, and place orders for meals in the kitchen.

The Early Bird price is applicable when purchasing camp sessions 30 calendar days before the start of the camp. After that, regular prices apply. Additional discounts are available for families with 2+ children and for organized groups of participants.

Payment can be made via bank transfer to an Indonesian bank account, transfer through Wise, or in cash.

Refund Policy:

Full refunds are provided in cases of documented medical emergencies or extenuating circumstances.

No refunds will be issued for cancellations due to scheduling conflicts or a last minute change of mind by parents/guardians.

Partial refunds or credit that can apply for future camp sessions maybe granted on an individual basis.

Refunds will be processed within a reasonable timeframe following the approval of the request and may take up to 7 business days.


We appreciate your cooperation in adhering to our summer camp policy. It is essential for creating a safe and enjoyable environment for all participants.
